Most onboarding software comparisons quote a headline price and move on. That price is frequently wrong, because the thing that determines what you pay isn't the per-employee rate — it's which tier onboarding sits in, and which pieces of it are sold separately.

Two examples from the research behind this guide. Enboarder sells onboarding as its base package, but I-9 and E-Verify compliance is a paid add-on — the part most US companies specifically need. Trainual removed every price from its website this year and now publishes only a $1,000 implementation fee, marked required on all four tiers.

So this guide checks three things per vendor: what it costs, which tier onboarding actually lives in, and what's sold on top. Every figure comes from the vendor's own pricing page, verified in September 2026.

The Pricing Trap: Which Tier Is Onboarding Actually In?

This is where onboarding software budgets go wrong, and it's worth two minutes before you shortlist.

BambooHR puts onboarding in the cheaper tier. New hire packets, onboarding checklists and e-signatures are all in Core at $10 per employee per month. It's performance management that requires Pro at $17. If you've read elsewhere that BambooHR onboarding needs the higher tier, that's wrong — though note Core caps you at 5 open job postings.

Enboarder charges extra for the compliance piece. Onboarding is the base package, but I-9, W-4 and E-Verify sit in a paid add-on, as do integrations. For a US company, that add-on isn't optional.

Trainual requires a $1,000 implementation fee on every tier, including the cheapest, and no longer publishes subscription prices at all. E-signatures are capped at 300 a year on Pro.

Tango's free plan won't onboard a company. Documentation is free, but Guide Me, automations, SSO, PII redaction and team training are Enterprise-only.

Click Boarding starts at $10,000 a year on three-year terms, with implementation billed separately and headcount audited at 6 and 12 months.

The pattern: in this category the headline number is rarely the number. Ask which tier onboarding is in, what compliance costs, and whether implementation is mandatory — before the demo, not after.

2. Gusto — Best for Small Teams That Need Payroll Too

Gusto's onboarding is tightly wired to payroll and benefits enrolment, which removes the most annoying part of week one: the same data entered three times.

Key features: Onboarding checklists, offer letters, e-signature documents, software provisioning, self-onboarding for new hires, payroll and benefits enrolment.

Pricing: Simple $49/month + $6 per person, month-to-month with no minimum. Plus $80 + $12; Premium $180 + $22. Performance is a $3/person add-on. No time-limited trial, but you pay nothing until you run payroll.

Best for: US companies under 100 people that want payroll, benefits and onboarding in one place.

Watch out for: Gusto's own FAQ flags custom document signing (bespoke offer letters, handbooks) as a higher-plan feature. G2 4.6 from 12,786 reviews — the strongest validation in this list.

3. Deel — Best for International Hiring

If you're onboarding people in countries where you have no entity, Deel is the practical answer. Compliance, contracts and local requirements are handled as part of the employment product.

Key features: Automated onboarding and compliance, contract generation, global payroll, EOR and PEO, ATS.

Pricing: Find talent (ATS) $14/worker/month; contractors $49/contractor/month; US PEO $125/employee/month; EOR $599/employee/month. Month-to-month. Deel HR standalone is not priced publicly.

Best for: Distributed companies hiring across borders.

Watch out for: You're buying an employment solution with onboarding attached, not onboarding software. Overkill if everyone is in one country. G2 4.7 from 6,960 reviews.

4. Paychex — Best If You're Already a Paychex Customer

Paychex bundles onboarding into its payroll and HR suite. The case for it is consolidation with an existing payroll relationship.

Key features: Onboarding workflows, document collection, payroll, benefits administration, HR services.

Pricing: Not published. Paychex's own pricing URL 404s and no figures appear anywhere on the site. Quote only.

Best for: Existing Paychex payroll customers.

Watch out for: The "$39/month + $5 per employee" figure that circulates widely is not on Paychex's current site — don't budget against it. G2 4.1 from 1,739 reviews.

5. Enboarder — Best New-Hire Experience

Enboarder treats onboarding as a designed journey rather than a task list — nudges to the manager, content to the hire, sequenced over weeks. It's the best experience layer here, with the most reviews-per-quality ratio of any vendor on the list.

Key features: Journey builder, manager nudges, mobile-first new hire experience, buddy programmes, feedback capture at milestones.

Pricing: Not published. Three unpriced packages. Compliance (I-9, W-4, E-Verify) and integrations are explicit paid add-ons on top of the base onboarding package.

Best for: Companies of 500+ where new-hire experience is a stated priority and there's budget for it.

Watch out for: The compliance add-on is not optional for US employers, so the base package price is misleading. G2 4.8 from only 62 reviews.

6. Click Boarding — Best for Enterprise Compliance

Click Boarding is built for large, regulated employers with high hiring volume and real compliance exposure.

Key features: Compliance-heavy onboarding workflows, forms and e-signature, integrations with major ATS and HRIS platforms, audit trails.

Pricing: $10,000 minimum annual subscription, based on three-year terms, priced per FTE at signing with headcount audits at 6 and 12 months. Set-up, implementation and integrations are separate one-time fees.

Best for: Enterprises hiring at volume in regulated industries.

Watch out for: The $10,000 floor and three-year term rule this out below roughly 500 employees. G2 4.1 from 17 reviews.

7. WorkBright — Best for I-9 and Remote Compliance

WorkBright is narrow on purpose: getting employment paperwork, I-9s and E-Verify done correctly for remote and seasonal workforces.

Key features: Remote I-9 completion, E-Verify, digital employment forms, document collection, seasonal rehire workflows.

Pricing: Not published — the pricing page redirects to the homepage. The one published figure is WorkBright+ managed I-9 at $25 per I-9 record.

Best for: Companies hiring seasonal, remote or high-turnover workforces where I-9 compliance is the risk.

8. Talmundo (Talentech) — Best for European Teams

Talmundo built a strong onboarding-experience product and has since been absorbed into Talentech, where it's sold as one module of an HR suite.

Key features: Pre-boarding and onboarding journeys, mobile app, buddy matching, milestone check-ins, multi-language.

Pricing: Not published. Sold as a module alongside Recruitment and HR. Pricing is "adjusted to the size of your company and the complexity of the solution."

Best for: European companies wanting a designed onboarding journey.

Watch out for: talmundo.com now redirects to talentech.com — if you're comparing against older reviews, you're reading about a product that's been folded into a suite. G2 4.6 from 18 reviews.

9. Sapling by Kallidus — Best Inside a Learning-Led Stack

Sapling is a people-operations platform with strong onboarding workflows, now part of Kallidus and sold alongside its LMS.

Key features: Onboarding workflows and task automation, employee records, org charts, integrations with payroll and ATS.

Pricing: Not published. Kallidus's pricing page shows four unpriced packages, and Sapling doesn't appear on it at all — the HRIS is quoted separately.

Best for: Companies buying learning and onboarding together.

Watch out for: Sapling no longer has its own G2 listing; the 4.3 from 392 reviews covers Kallidus overall. Getting a straight answer on what you're buying takes a call.

Process Documentation Tools

10. Tango — Best for Documenting How Things Are Done

Tango captures a process as you perform it and turns it into a step-by-step guide with screenshots. For the "how do I actually do this job" half of onboarding, it's the fastest way to build documentation that isn't out of date.

Key features: Automatic step-by-step guide capture, screenshots with annotations, embedded walkthroughs, guide library.

Pricing: Free plan (5 shared workflows, up to 10 users). Pro $15/user/month annually for 3+ users. Enterprise custom.

Best for: Teams documenting repeatable processes, alongside a real onboarding tool.

Watch out for: The features that make it work for company-wide onboarding — Guide Me, automations, SSO/SCIM, PII redaction, team training, analytics — are Enterprise-only. G2 4.7 from 515 reviews.

11. Trainual — Best for Role-Based Training Paths

Trainual is process documentation plus structured training assignments and tracking, aimed at growing companies formalising how work gets done.

Key features: Role-based training paths, policy documentation, quizzes and completion tracking, org chart, e-signatures.

Pricing: Not published — Trainual removed all subscription prices in 2026. Every tier now says "get a demo." The only public figure is a $1,000 one-time implementation fee, marked required on all four tiers. Individual training paths, e-signatures (300/year) and org chart require Pro.

Best for: Companies of 20–200 formalising processes for the first time.

Watch out for: Any article quoting Trainual per-tier pricing is stale. Budget the mandatory $1,000 implementation. G2 4.7 from 1,075 reviews.

What Onboarding Software Doesn't Do

12. Effy AI — For the 90 Days After Onboarding Ends

Effy AI is not onboarding software. It doesn't do I-9s, e-signatures, device provisioning or day-one portals. Everything above does that better.

But there's a gap worth naming, and we have an obvious interest in naming it.

Onboarding software gets someone through paperwork, week one, and a checklist. Then it stops. The question that actually matters — is this hire working out? — lands somewhere around day 30, 60 and 90, and almost nothing in an onboarding platform answers it. That's why the "30-60-90 rule" exists as a manager practice rather than a software feature: the tools hand off before the question gets asked.

Paychex, Enboarder, WorkBright, Trainual, Talmundo and Sapling can't be placed. None publish a rate. Deel prices its employment products but not standalone HR.

Six of twelve vendors here publish nothing, which is high even by HR software standards. Budget two to three weeks of sales calls to build a real shortlist.

How to Choose Employee Onboarding Software

Decide whether you're buying onboarding or an HRIS. If you need employee records and payroll anyway, BambooHR or Gusto give you onboarding as part of the deal and you're done. A dedicated platform only makes sense when the new-hire experience itself is the problem you're solving.

Ask which tier onboarding is in, and what compliance costs. BambooHR includes it in the cheaper plan. Enboarder charges extra for I-9. These details move the price more than the headline rate.

Ask whether implementation is mandatory. Trainual requires $1,000 on every tier. Click Boarding bills it separately. It's rarely on the pricing page.

Count your real problem. Paperwork and compliance → WorkBright or an HRIS. New-hire experience → Enboarder or Talmundo. "Nobody knows how we do things" → Tango or Trainual. These are different products and buying the wrong one is the most common mistake in this category.

Plan for day 90. Onboarding software ends at week two. Decide now how you'll assess whether the hire is working out, or you'll find out at the twelve-month mark.
